What will you be doing?
Organise and facilitate project governance meetings for all projects within the Major Projects Directorate, including ensuring meetings are appropriately arranged, quorate, and minutes documented accordingly in agreement with the Chair. Record and track actions arising from sessions and provide updates to the Chair ahead of the next meeting. Ensuring the timely issue of any project documentation ahead of any internal project meetings.
Assist the standardising of project reporting across the suite of projects, including use of project management software and risk reporting.
Support project and programme managers in the creation and review of project dashboards each period in line with the governance drumbeat.
Write, proof-check and format any reports as required by Major Projects Director and/or other members of the team.
Contribute towards the development of a system for storing and organising important project related documentation as required so it is easily and quickly accessible and ensure compliance.
The role will aid project reporting to ensure an excellent standard delivering internal Executive and Board requirements and discharging business requirements to DfT/Rail North within the Franchise Agreement.
Raise and follow up purchase orders within the Major Projects Directorate and keep accurate records of related correspondence. Ensure all financial compliance has been adhered to.
Provide administrative support to Major Projects Directorate, including arranging internal and external meetings, accommodation and travel booking, monitoring annual leave and inventory management for the team.
Provide administrative support to communications and engagement activities within the Major Projects Directorate, including the organisation of Directorate Away Days.
Record and track appropriate KPIs for the Major Projects Directorate as required each period by the SLT.
Facilitate diary management and organisation for the Major Projects Director, and members of the Major Projects Senior Leadership Team as required.
