We are actively seeking a highly proficient and experienced Document Controller to join an established team. This role will be part of the Project Controls Department, which plays a vital role in supporting their Bridge and Rail Projects.

 

The Project Controls Department offers a comprehensive range of professional services to ensure the successful execution of Rail Projects. This includes expertise in Tender Planning, Project Planning, analysis, trending, forecasting, and Document Control. As a Document Controller, you will play a crucial role in maintaining the integrity and organization of project documentation throughout its lifecycle.

 

Essential

Demonstrated prior experience in on-site or project office environments.
Exceptional communication skills, both verbal and written.
Proficient in using MS Office applications, including Outlook, Excel, and Word.
Previous exposure to working with database systems.
Familiarity with project controls practices.
Experience or working knowledge of the following platforms:Priority 1: ProjectWise.
Priority 2: eB (Enterprise Bridge) AssetWise.
Essential: SharePoint.
Essential: MS Teams.
Essential: Attributes.

Responsibilities:

Maintain consistent Document Management practices across all Projects, ensuring rigorous control and traceability of documentation from Project initiation to completion.
Perform efficient uploading and downloading of documents onto the Electronic Document Management System (EDMS).
Conduct quality checks on documents to ensure compliance with client and company standards.
Create, format, and update documents using Microsoft Office software.
Ensure accuracy and currency of technical documents by logging and updating them appropriately.
Handle incoming documentation, including registration in the Document Management System (DMS), internal distribution, and archiving.
Process outgoing documentation by transmitting it to clients, suppliers, and third parties.
Properly identify, distribute, and file drawings and other documentation.
Communicate effectively with project teams, clients, and subcontractors.
Utilize the EDMS for downloading, uploading, and printing drawings.
Archive project documentation, recording and numbering them appropriately for traceability.
Monitor the progress of documentation in collaboration with the project planner.
Establish and maintain document control registers.
Set up the Document Control area for new projects.
Manage Requests for Information (RFIs), Technical Queries (TQs), drawings, etc., and take responsibility for the delivery and quality of assigned work.
Actively develop skills through on-the-job learning and formal training and share knowledge with colleagues.
