As a Team Organiser, you will be the vital link between our internal teams, contractors, and external stakeholders. You’ll play a central role in keeping projects on track and supporting the day-to-day operations of the Assets & Facilities function — from raising purchase orders to managing team meetings and coordinating payroll returns.

You’ll thrive in this role if you’re a problem-solver, a great communicator, and enjoy working in a dynamic railway environment where attention to detail and efficiency are key.

Key Responsibilities:

Procurement & Finance Support:

Raise and manage purchase orders (POs) using EBIS.
Track GRNs and resolve invoice matching queries.
Maintain spending records across the Assets & Facilities budget.
Raise invoice requests to Network Rail, DfT, and other stakeholders.

Administrative & Team Support:

Manage and update attendance, sickness, training, and annual leave records.
Coordinate and submit weekly payroll returns and status updates for staff.
Organise and minute key team meetings – from monthly stakeholder sessions to periodic SQR and technician catch-ups.
Support confidential meetings with note-taking as required.

Logistics & Planning:

Book travel and overnight accommodation for the team.
Assist with project-based documentation and data collation.
Plan and support SST and Artisan team events.

We are looking for a proactive and detail-oriented individual who thrives in a fast-paced, collaborative environment. The ideal candidate will be highly organised and efficient, with a proven ability to manage multiple tasks, deadlines, and priorities without compromising on quality.

You will be a confident communicator, both written and verbal, capable of engaging effectively with colleagues, senior stakeholders, and external partners.

We welcome applicants from diverse backgrounds!
